Three ways to reach Polargate

Polargate is a senior-led studio, so there is no switchboard, no sales team and no account manager between you and the person who would do the work. Use the channel that matches what you need.

  • The /start brief. The main door for new work, and for anything else you would rather describe in your own words: a partnership, an invoice, a question about something we published. A short written form: what you run today, what you want to change, when you need it, and the budget range you have in mind. Answered in writing within 48 business hours.
  • The ServiceDesk address in your contract. For clients on a CARE retainer. Mail sent here opens a ticket in the Polargate ServiceDesk, where it is tracked, prioritised and charged against your contracted hours. Urgent work comes out of its own pool of hours and goes ahead of planned tasks.
  • The address on the privacy page. For data protection requests under the GDPR: access, rectification, deletion, portability or objection.

What happens after you write

1. A written answer within 48 business hours. From Pedro Ciordia, founder and CTO. Not an automated sequence, and not a junior triaging the queue. 2. A call, when there is something worth discussing. In English, Spanish or Dutch, at a time that works in your zone. If the brief already answers the questions, we skip the call and go straight to the next step. 3. A written proposal, or an honest no. If the fit is wrong, the deadline is impossible or the budget does not match the work, you hear it in the first reply instead of after three meetings. If it fits, you get a scoped proposal for a Discovery Sprint, fixed price from 4,900 EUR. 4. Discovery, then a fixed price for the build. Two weeks of interviews, an audit of what already exists, a data model and an architecture decision, ending in a scope and a price you can say no to. Everything Discovery produces is yours whether or not you continue.

Nothing you send is shared or resold. If the subject is confidential, say so, and a mutual non-disclosure agreement can be signed before the call.

Where Polargate works from

POLARGATE, S.L. is a Spanish company, CIF B24895005, with its registered office at Calle Electrónica 6, 28027 Madrid. Day to day the studio works from Madrid, for clients in Europe and the Americas, and serves the Netherlands and Benelux in Dutch.

  • Hours. Coverage runs from UTC-8 to UTC+1, so a morning in Santo Domingo and an afternoon in Amsterdam fall inside the same working day. There is no 24/7 on-call cover, and Polargate will not pretend there is.
  • Languages. English, Spanish and Dutch, all three natively. Write in the language you think in and the reply comes back in it.
  • Meetings. Video by default. In person in Madrid or Amsterdam when the project justifies the trip.

What makes a request easy to answer

You do not need a specification. Four things are enough for a useful first reply:

  • What exists today and where it hurts: a URL, a screenshot, a spreadsheet nobody enjoys.
  • What has to be true when the work is done, in the words the business itself would use.
  • The date that matters and why it matters: a season, a launch, an audit, a contract running out.
  • The budget range you are working with. It is not a negotiating position, it decides which of the three lines makes sense: BUILD, GROW or CARE.

If you already know the shape of the work, name the line. If you do not, describe the problem and Polargate will say which line applies, including the answer that none of them do.

How do I get in touch with Polargate?
Fill in the /start brief on polargate.ai. It is the way in for new work and for general questions, and it gets a written answer within 48 business hours from Pedro Ciordia, founder and CTO. Clients on a CARE retainer have a ServiceDesk address in their contract, and it opens a tracked ticket. Data protection requests go through the address published on the privacy page. There is no phone queue and no sales team in between.
How long does Polargate take to reply?
Within 48 business hours, in writing. That applies to the /start brief and to tickets from clients on a CARE retainer. Urgent tickets come out of a separate pool of urgent hours and are picked up ahead of planned work. Polargate does not sell 24/7 on-call cover, because a senior-led studio cannot honestly promise it.
Where is Polargate based?

Can I talk to someone before paying for a Discovery Sprint?
Yes. The first written answer and the call that follows it cost nothing. You pay only when you sign a Discovery Sprint, which is fixed price from 4,900 EUR and ends with a scope and a fixed price for the build. If that first exchange shows Polargate is not the right studio for your problem, you get told so directly instead of being sold a sprint you do not need.
Who do I email if something on my site is broken?
Clients on a CARE retainer write to the ServiceDesk address in their contract, which opens a tracked ticket charged against contracted hours. Include the URL, what you expected, what happened, and a screenshot if you have one. If you are not on a retainer, use the brief at /start, describe the problem and say it is urgent, and you get an honest answer about what can be done and when.
What languages can I write to Polargate in?
English, Spanish or Dutch. Polargate works natively in all three, and the reply, the proposal, the documentation and the monthly reports come back in the language you started in. Multilingual delivery is normal work here rather than an add-on, so a site or app that has to run in several languages does not need a separate translation supplier bolted on at the end.
How do I request access to or deletion of my personal data?
Use the address on the privacy page and say what you want: access, rectification, deletion, portability or objection.
